What a price per user per month covers – and what it does not

Typically included is the ongoing operation: provision, updates, backups, support. Generally not included are:

The list prices of common international providers typically range from the low double-digit to the mid three-digit euro range per user per month, usually with an annual commitment. Always check whether the features you need are included in the lower tier – this is the most common reason why the actual invoice differs from the calculation.

The question that comes before the price: Who really needs access?

In many companies, most employees only need read access or a single transaction. A licensing model that charges the full user price for this is the biggest cost driver. Therefore, explicitly ask for read-only access, access for external users, and whether a portal for customers requires its own licenses.

Cost items that are not listed on any pricing page

Data protection. A CRM processes personal data. A data processing agreement according to Art. 28 GDPR, an entry in the directory of processing activities according to Art. 30 GDPR, technical and organizational measures according to Art. 32 GDPR, and an implemented deletion concept according to Art. 17 GDPR are necessary. This requires working time, regardless of the product.

Co-determination. If there is a works council, the introduction of a CRM is usually subject to co-determination according to § 87 Abs. 1 Nr. 6 BetrVG, as the system is suitable for monitoring behavior or performance. This is not an obstacle, but a time factor of several weeks that is almost always missing in project plans.

Data quality. Duplicates and outdated addresses will otherwise be carried over and make evaluations unusable from the start.

How to calculate honestly over three years

  1. User price × number of accesses × 36 months
  2. plus setup, data migration, training
  3. plus interfaces (one-time and ongoing)
  4. plus internal effort: project support, data maintenance, data protection
  5. plus expected extensions

You should perform the same calculation for each alternative – only then is the comparison reliable.

What we advise against

Switching solely for the reason of price. A CRM migration costs time in sales, and that is more expensive than the difference in monthly fees. And for very small teams with a typical sales process – inquiry, offer, order, invoice – a mature standard product is usually the more economical choice. Custom development is worthwhile where recurring detours cost time permanently or where data cannot legally be held by the provider.
